Our plan provider Canada Life takes rigorous steps to ensure that they protect and manage our personal information according to the regulatory standards within the financial industry. Here’s what you should know:
- Canada Life collects and uses data from plan sponsors and members to administer their retirement program
- Only data which is legislatively required, and needed for administrative purposes, is collected
- The data that they collect from online enrolments or the paper application process include:
- Demographic information – name, address, email, date of birth, social insurance number
- Eligibility information – plan entry date
- Investment information – investment fund selection, or plan default investment
- Beneficiary information – name of beneficiary and relationship to plan member
- Canada Life protects your data through:
- Call centre authentication
- Outbound call back authentication
- Encrypted email
- Secure file transfer protocol
- Password protected files via email
- Data Security
- Canada Life has multiple server locations across the country ensure the highest level of data security: data centres in Winnipeg and Toronto, and backup centres in Toronto and Quebec
- They also have a gold standard business continuity plan
- Data Retention Requirements
- Data is retained by Canada Life for the lifetime of the policy, plus 15 years after policy termination
- And for the full period of the member’s active plan participation, plus 15 years after the plan member’s retirement/termination/death date when their plan participation ended
- Electronic data is stored in Canada Life servers
- Paper data is stored in a climate controlled, secure Canada Life building in London, Ontario, for active plan sponsors/plan members
- Paper data is maintained at an off site secure storage facility in Ontario for plan sponsors/plan members who have terminated accounts (i.e. paper application form)
